Constitution of the Gustavus Anime and Manga Society ARTICLE I: NAME The name of this organization shall be for now and forever more known as ‘The Gustavus Anime and Manga Society’. ARTICLE II: PURPOSE The purpose of The Gustavus Anime and Manga Society is to spread knowledge of Japanese culture through visual media, traditional cuisine and discussion. ARTICLE III: MEMBERSHIP Section 1: Membership in this organization is open to all students who enjoy watching anime, reading manga, and who are willing to participate in discussion about how this demonstrates or displays Japanese Culture. Section 2: All members receive equal treatment in the club and there exist no categories of membership. All members are on equal ground. Section 3: Members are accepted throughout the year as long as they show an interest in the club by attending at least 3 meetings a semester. ARTICLE IV: OFFICERS Section 1: The following officer positions shall exist in the Gustavus Anime and Manga Society: President, Vice President, Treasurer, Secretary, and Risk Manager. Only the person acting as Risk Manager may hold another office at the same time. All officers must be students of Gustavus Adolphus College and in good academic standing. If no qualified persons are interested, this requirement may be waived by majority vote of the present members. Section 2: Duties of each office are described as follows: A. President 1. To preside over meetings 2. Be a spokesperson for the club 3. Work with other executive board members and advisor to create yearly goals for the organization 4. To help organize events for the organization 5. To help organize the trip to Anime Detour in the spring B. Vice President 1. To preside over the meetings in absence of the President 2. To exercise all the functions of the office of the President in the absence of the president 3. To help organize events for the organization 4. Work with other executive board members and advisor to create yearly goals for the organization 5. To help organize the trip to Anime Detour in the spring C. Secretary 1. To communicate with club members about meetings and events 2. Work with other executive board members and advisor to create yearly goals for the organization 3. Keep record of what has been viewed and discussed at Anime Club meetings including the Anime viewed 4. To communicate with members about the processes to participate in Anime Detour 5. Work with other executive board members and advisor to create yearly goals for the organization D. Treasurer 1. To maintain the finances of the Gustavus Anime and Manga Society and keep records of financial matters 2. To collect all fees from members wishing to participate in Anime Detour 3. To coordinate and pay for all expenses for Anime Detour from club budget 4. Work with other executive board members and advisor to create yearly goals for the organization E. Risk Manager 1. To work with Risk Management Committee for Student Life at Gustavus Adolphus College concerning all Risk Management issues 2. To assess possible risk of all club activities and events and report them to the proper authority if necessary 3. To create an event management plan for club activities and events when necessary 4. Work with other executive board members and advisor to create yearly goals for the organization 5:To ensure that media that the club consumes will not have too heavy of topics. Section 3: Candidates for office must volunteer for elections to be held around the month of April. Members will be given a voting date. All members who are present on the day of voting and have attended at least three meetings a semester will be eligible to vote. Candidates are elected into office by majority vote. Section 4: The term of office begins at the start of the academic year with May of the previous academic year to serve as a transition and training month for new officers. Term of office lasts for one academic year. Any vacancies will be announced to members at the meeting following voting. Section 5: The Gustavus Anime and Manga Society, by a two-thirds vote of all present members, may remove an executive member from office. ARTICLE V: MEETINGS Section 1: Meetings will be held twice a week, on a weekday and Saturdays, during the academic year. The executive board will meet at the beginning and end of each semester and throughout the semester as deemed necessary. The Secretary is responsible for informing members of meetings. Section 2: Decisions are made by voting. Voting will be on a majority basis. And the Leader of the meeting will act as a tie breaker by abstaining from voting in the initial round of voting. ARTICLE VI: EXECUTIVE BOARD Section 1: The following officer positions shall exist in the Gustavus Anime and Manga Society: President, Vice President, Treasurer, Secretary, and Risk Manager. Section 2: The executive board shall meet at the beginning and end of each semester to discuss goals for the club. They shall also meet throughout the semester as necessary to deal with any issues, and schedule events. ARTICLE VII: FINANCES Section 1: Upon dissolution of the Anime Club, any financial assets will be credited to the Gustavus Student Senate. ARTICLE VIII: BY-LAWS Section 1: By-laws may be established by executive board members and reviewed at the beginning of each academic school year. They will be submitted to members prior to a meeting where voting will then take place. Section 2: All members who are in good standing are eligible to vote and must be present at the meeting to do so. A majority vote will pass the by-law. ARTICLE IX: AMENDMENTS Section 1: Members of the Gustavus Anime and Manga Society that are in good standing may propose amendments. All proposed amendments will be reviewed by the Executive Board and submitted to members prior to a meeting where voting will then take place. Section 2: All members who are in good standing are eligible to vote and must be present at the meeting to do so. A majority vote will pass the amendment. Section 3: If amendments are passed they take effect after the meeting where they are passed. Date of Ratification: September 16th, 2022
