CONSTITUTION OF THE GUSTAVUS MUSICIANS AND ARTISTS COLLECTIVE

ARTICLE I:

NAME

Section 1: The name of this organization shall be the GUSTAVUS MUSICIANS AND ARTISTS COLLECTIVE.

Section 2: This organization will use the name or its acronym GMAC in all publicity materials and correspondence.

ARTICLE II:

PURPOSE

The mission of the Gustavus Musicians and Artists Collective is to provide a creative space for Gustavus musicians and artists. We intend to be a resource, create opportunities, and connect artists across all mediums to each other and to the community, encouraging the exploration of the arts by all through events and showcases. 

ARTICLE III:

MEMBERSHIP

Section 1: Membership in this organization is open to all students who enjoy creating art and music, are interested in learning more about the arts and music of all kinds, and are interested in supporting the arts at Gustavus.

Section 2: The following categories of membership exist in the Gustavus Musicians and Artists Collective:

Musicians (Those who intend to create and perform music at GMAC events)

Artists (Those who intend to create, showcase, or sell art at GMAC events)

Supporters (Those who intend to support musicians and artists behind the scenes)

Section 3: Members are accepted continually throughout the year as long as they attend at

at least one meeting a month and the annual Arts Festival.

ARTICLE IV:

OFFICERS

Section 1: The Gustavus Musicians and Artists Collective shall have the following officer positions: Executive Director, Vice President, Public Relations Director, Treasurer, Risk Manager, Events Coordinator, and Music and Arts Coordinator. All officers must be full-time students in good standing enrolled at Gustavus Adolphus College. The only position with additional requirements that must be met is the President. They must have been a member of the organization for at least one year before becoming President. If no qualified parties are interested, this requirement may be waived with the majority agreement of the membership present

Section 2: The duties of each office are described as follows:

  1. Executive Director
  2. Plan and coordinate meetings, agendas, task lists, etc.  
  3. Make sure all areas of the organization are running smoothly
  4. To facilitate communication between executive board members
  5. To work with the advisor and other executive board members to create

yearly goals for the organization

  1. To function as a spokesperson for the organization
  2. To attend Executive Board meetings
  1. Vice President
  2. To preside over meetings in the absence of the President
  3. To exercise all the functions of the office of the President in the

absence of the president

  1. To assist the President in the organization of club events
  2. Track meeting minutes, brainstorms, task allocations, etc., and communicate them to the organization's members.
  3. To assist in the development of yearly organizational goals
  4. To attend Executive Board meetings
  1. Public Relations Director
  2. Create relationships with the student population
  3. Manage the social media presence of the organization
  4. To keep club members informed of upcoming meetings and events
  5. To assist in the development of yearly organization goals
  6. To assist in creating advertisements and announcements of events and activities
  7. To attend Executive Board meetings
  1. Treasurer
  2. To maintain the finances of the Gustavus Musicians and Artists Collective and keep accurate

records of all financial matters

  1. To keep track of budgets and expenses
  2. To coordinate other fundraising efforts
  3. To assist in the development of yearly organizational goals
  4. To attend monthly Executive Board meetings
  1. Events Coordinator
  2. To be responsible for the recruitment of new members, including coordinating the tables at Student Organization Fairs
  3. Coordinate with the Campus Activities Office on event logistics
  4. To reach out to outside organizations about participating in events and handle the logistics surrounding them 
  5. To assist in the development of yearly organizational goals
  6. To attend monthly Executive Board meetings
  1. Music and Arts Coordinator
  2. Find and reach out to artists, musicians, and the college community about events and opportunities through the organization
  3. Coordinate needs of those participating in events with the organization and outside resources such as event services
  4. To assist in the development of yearly organizational goals
  5. To attend monthly Executive Board meetings
  1. Risk Manager
  2. Ensure the safety of all participants, members, students, etc, during activities and events
  3. Create crisis management plans for events and activities.
  4. To assist in the development of yearly organizational goals
  5. To attend monthly Executive Board meetings

Section 3: Candidates for office must be nominated from the Gustavus Musicians and Artists Collective membership around the end of March or the beginning of April. They then must submit a written application outlining their commitment to the organization and discussing what they hope to accomplish if they receive an office. All positions will be decided upon by the running Executive Board by majority vote.

Section 4: The term of office begins at the beginning of June, with the month of May serving

as a transition month between old and new officers. The term of office shall last

for one calendar year. Any vacancies during the year shall be announced to the

membership at the meeting following the vacancy. Applications shall be taken

and voting shall occur directly following the meeting. If no one applies, the responsibilities of the vacant position shall be distributed among running E-board members until the position is filled. 

Section 5: The Gustavus Musicians and Artists Collective, by a two-thirds (2/3) vote of all members present, may remove, on good cause, an executive board member from office. A request for removal from office will be brought to the Collective Advisor or Executive Director, who will then bring the request before the membership at the next scheduled meeting.

ARTICLE V:

MEETINGS

Section 1: Meetings will be held a minimum of once a month during the academic year. The Executive Board will meet at the beginning of each semester to set meeting dates. The Secretary is responsible for informing members of meetings. The President will set the agenda for the meetings with input from all members and Executive Board members.

Section 2: Decisions are made by voting- brought to the floor by a motion and a second. A majority shall allow the vote to pass.

Section 3: The President or Advisor has the capability of calling special meetings for any

matters they feel cannot wait until the next regularly scheduled meeting. Members

must be given at least 3 days notice of any special meetings.

ARTICLE VI:

EXECUTIVE BOARD

Section 1: The Executive Board shall consist of the Executive Director, Vice President, Treasurer, Public Relations Director, Risk Manager, Events Coordinator, and Music & Artists Coordinator.

Section 2: The executive board shall meet once a month to discuss the planning of club

events. At the board’s first meeting of each semester, they shall set the dates for

all Collective Meetings and develop organizational goals.

ARTICLE VII:

COMMITTEES

Section 1: The standing committee for the Gus Alumni Banquet will conduct all of the

planning of related to the Gus Alumni Banquet where all those who have served

as Gus in the past are invited on campus. The Vice President will head the

committee. All interested members may serve on the committee. Members who

are current and former mascots will be strongly encouraged to serve on the

committee, at least in an advisory capacity.

Section 2: The Executive Board may create Special Committees on an as needed basis.

ARTICLE VIII:

FINANCES

Section 1: Funds of the organization shall be raised primarily through fundraising. Board members are required to do at least 4-hours of fundraising through the caf, banquet and/or concession stand shifts throughout the year (2 hours per semester or 4 in one) , if any board member(s) fail to complete 4 hours of fundraising, they are required to pay $40 out of pocket.

Section 2: Upon dissolution of the Collective, any financial assets will be credited to the Gustavus Student Senate.

Section 3: In the event that the member is called to use his/ her own money to fund a GMAC-sponsored event, it is the member's responsibility to provide all necessary receipts and information to the treasurer within a week's time for proper reimbursement.

ARTICLE IX:

AMENDMENTS

Section 1: All members of the Gustavus Musicians Collective that are in good standing may propose amendments. The proposed amendments will be reviewed by the Executive

Board.

Section 2: All members in good standing are eligible to vote, but they must be present at the meeting to do so. A two-thirds (2/3) majority is needed for the amendment to pass.

Section 3: If amendments are passed, they take effect at the end of the meeting during which they are passed.
