Constitution of the Association of Hindu Students (AHS)

Article I (Name) : The name of this club is association of hindu students (AHS)

Article II (Purpose) : The major goal of this organization is to bring together all students to learn about Hindu culture and to enjoy its magnificent festivals.

Article III (Membership) : Qualification of Membership are:

  • Section 1 : All students who are interested in learning more about Hindu culture and traditions are welcome to join our association.
  • Section 2 : Individuals are admitted throughout the year as long as they attend at least two to three meetings every semester, as well as one event outside of meetings, and demonstrate consistent support for the organization.

Article IV (Executive Board)

  • Section 1: The E-Board will consist of the President,Vice President, Secretary, Treasurer, Historian, DLC Representative, Social Media and Advertising Coordinator, and Activities Coordinator. All officials must be full-time, enrolled students at Gustavus Adolphus College in good academic standing. One thing to keep in mind is that in order to run for President, an individual must have been a member for at least a year. In addition, before the start of each year, all positions on the E-board will be up for election.
  • Section 2: The duties of each E-board member is mentioned below:
  1. President: The President is the student organization's principal point of contact and serves as the group's "external spokesman," interacting with other student groups and University authorities on a regular basis. He or she serves as the link between the student group and its adviser, as well as other community connections. The responsibilities for this job should be adapted to the needs of the student group. They also have duties such as planning all meeting agendas, presiding over organization meetings, calling special meetings for the organization, and facilitating executive board meetings.
  • Vice President : A Vice President's responsibilities include running meetings and acting as President when the President is unavailable. Organize recruitment activities across the organization. At official functions, represent the company. During organizational decision-making processes, be fair and unbiased. Arrange elections for the organization. Prepare the budget and calendar with the president and treasurer's help. Assist with the preparation of meeting agendas for the president.
  • Secretary : The secretary's responsibilities extend much beyond just recording minutes. To collect all student council information, the secretary will need to attend every meeting, or arrange for another member of the executive committee or an approved replacement. Additionally, develop and distribute meeting agendas. take attendance at all  meetings, take minutes of the proceedings, receive all key motions and amendments submitted during a meeting to be included in the minutes, create and disseminate minutes in a timely way Keep a file of original agendas and minutes, and type all president, vice president, and adviser letters.
  • Treasurer: The treasurer keeps meticulous records of all financial transactions and presents a summary of those transactions to the executive committee and during meetings on a regular basis. The treasurer forecasts how money will be spent in the future and offers specific recommendations for cost-cutting and efficiency gains. A treasurer must keep track of all expenses and enter the relevant transactions into the books in order to accomplish his or her job properly. The treasurer should be in charge of money flow regulation. Assist the president and vice president in putting together a feasible year-long calendar and budget. Keep a thorough and accurate financial record.
  • Risk Manager : The Risk manager is in charger of preventing any sort of risk during the events and meetings 
  • Social Media and advertising coordinator : Social Media and Advertising Coordinators plan, implement, and oversee a club's social media strategy in order to increase  recognition and promote the club's activities. Their duties include monitoring and publishing on all of the club's social media platforms, as well as communicating with and developing the club's segment audience and working on advertising for the club and its events.
  • Diversity Leadership Council Representative : The DLC rep has to actively attend the DLC meetings and help the club and DLC communicate. 
  • Section 3 : Around the end of April or the beginning of May, candidates for office must be nominated from the AHS membership. They must next submit a written application demonstrating their devotion to the group and outlining their goals if they are given an office. This, along with the voting date (about to the end of April), will be given to all members of the organization. All members present on the voting day who have attended at least one AHS event outside of meetings that semester will be eligible to vote. Paper ballots will be used for voting. Candidates will be chosen if they earn a majority of the votes cast.
  • Section 4 : The tenure in office starts in early June, with May functioning as a transition month for the old and incoming executives. A one-year term of office is required. Any vacancies that occur during the year will be disclosed to the membership at the next meeting. At the meeting, nominees will be accepted and votes will be cast. If no one is nominated, the President has the authority to appoint a member to the office.
  • Section 5 : An executive board member may be removed from office for good reason by a vote of all members present. Withdrawal from an executive post should be communicated to the President three weeks ahead of time.
  • Article V (Meetings) :
  • Section 1:  Every once a month , there will be a meeting. Every Eboard member is obliged to attend. Each semester, the Executive Board will convene to select meeting dates. The Secretary is in charge of notifying members of meetings. The agenda for the meetings will be decided by the President, with input from all members and Executive Board members.
  • Section 2: Any problem that the President or Advisor believes cannot wait until the next regularly scheduled meeting can be called for a special meeting. Any extraordinary meetings must be announced at least seven days in advance.
    • Article VI (Executive Board):
  • Section 1:  The E-Board will consist of the President,Vice President, Secretary, Treasurer, Risk Manager, DLC Representative, Social Media and Advertising Coordinator. Biweekly, the executive board will meet to discuss the planning of club activities.
  • Article VII (Finances) :
  • Section 1: Funds will be given to the organization by the student senate and the diversity leadership committee as a member club of their committee.
  • Article VIII (BY-Laws) :
  • Section 1 : Club members can create BY-laws, which are then reviewed every September. By-laws can be proposed by any member in good standing. Members of the Executive Board shall prepare them for vote and send them to members in writing before the meeting where voting will take place.
  • Section 2: To vote, all members in good standing must be present at the meeting. To pass the by-law, a majority vote is required.
  • Article IX (Amendments) :
  • Section 1: The proposed amendments will be evaluated by members of the Executive Board and sent to members in writing at least two weeks before the vote.
  • Section 2: To vote, all members in good standing must be present at the meeting. For the amendment to pass, a two-thirds (2/3) majority is required.
  • Section 3: If amendments are approved, they become effective at the conclusion of the meeting in which they were approved.
