Article I: Name
The name of this organization is “The Association for Underrepresented Awareness.”
Article II: Purpose
Our mission is to provide education for the community about those who are underrepresented and present resources to explore different identities. This education will have a yearly theme (i.e. health care, STEM, women, etc.); in addition, every year will have at least passive campaigning related to public health and wellbeing. Those who are interested will be able to utilize this education for self-reflection and empathy construction.
Article III: Membership
Executive Board members are expected to attend all meetings. Additionally, constituents must sign up for future communication via an email alias provided by the Secretary.
Article IV: Officers
Section I
The officers of this organization shall be: the President, the Vice President, the Secretary, the Treasurer, the Publicist, and the Risk Manager.
Section II
President:
- Represent underrepresented students at Gustavus Adolphus College.
- Acts as the spokesperson for the organization.
- In conjunction with other executive board members, generate novel proposals, projects, and objectives for the mission of the organization.
- Organize and supervise all meetings, activities, and events.
- Ensure the organization (executive board and general members) follows its mission, policies and procedures.
- Provide leadership and mentorship towards other executive board and general members.
- Form and maintain relationships with other organizations and connections.
- Provide occasional updates to the advisor.
- Oversee the process of all events organized by the organization.
- Finalize decisions of all events, seminars, etc.
- In conjunction with the Treasurer, ensure funds are allocated appropriately .
- Attend and respond to all feedback from the advisor, peers, and members of the organization.
Vice President:
- Assist the President in the aforementioned duties.
- Plan, supervise and evaluate organization’s mission, policies, procedures, activities and events.
- Assist in the development of yearly organizational goals and theme/s.
Secretary:
- Document detailed notes pertaining to executive and general meetings.
- Email members via appropriate alias in regards to these documents.
- Ensure organized location for records and documents (i.e. Google Drive).
- Create an alias of all members of the organization.
- Prepare agendas with the President and Vice President for all meetings.
- Prepare the organization’s calendar of events.
- Notify all general and executive board members of general meetings.
- Notify all executive board members of executive board meetings.
- Inform members of organization and campus events.
- Reserve locations for meetings and events (i.e. Zoom meetings, Nobel Hall, etc.)
- Assist in the development of yearly organizational goals and theme/s.
Treasurer:
- Handle budgeting and event planning funds.
- Provide summaries of financial records and prepare annual budgets.
- Collect organization dues and maintain historical records.
- Assist in the development of yearly organizational goals and theme/s.
- Advise members on financial matters.
- In conjunction with the President and Vice President, generate budget requests to the Student Senate at Gustavus Adolphus College.
- Funds may also be coordinated with other offices at Gustavus Adolphus College (i.e. The Center For Inclusive Excellence, The Counseling Center, etc.)
- Post receipts and deposits to determined location (i.e. Google Drive).
Risk Manager:
- Ensure the organization is open and respectful to people from all backgrounds.
- If any problem or disagreement arises, the risk manager will make sure the situation is handled in a calm and professional manner.
- Seek approval from the College for any events that require a Special Events checklist:
- first time event/one-time event
- complex or hazardous activities
- large and mixed crowds
- inexperienced organizers and staff
- temporary sites
- requests for alcohol
- unanticipated last-minute decisions
- Ensure liability waivers are signed and fully understood.
- Establish a working relationship with the Risk Management Committee and Student Life.
- Assist in the development of yearly organizational goals and theme/s.
Publicist:
- Act as the primary point of contact for advertising campaigns.
- Advertise and announce meetings on campus and elsewhere through marketing strategies and techniques.
- Generate posters.
- Maintain a photo folder containing photos of: members, executive board members, events, speakers, etc.
- Manage social media activity.
- Schedule interviews, if necessary.
- Assist in the development of yearly organizational goals and theme/s.
- Assist in the Involvement Fair.
Article V: Elections
Section I
Re-elections will be taking place during the last month of spring semester. Interested students in applying for the executive board will submit a written application and participate in interviews. Requirements for these aforementioned steps will be determined by the executive board members of that school year. The new executive board members will be determined by the previous executive board members and advisor via a holistic and unbiased approach.
Section II
To hold an elected, or appointed office in this organization, a member must have at least a 2.5 GPA at the time of election or appointment, and must be a full-time student. Furthermore, the member may not be on academic or disciplinary probation.
Article VI: Advisor
The advisor will be selected by the President of the organization, who must be a full-time faculty or staff member at Gustavus Adolphus College.
Article VII: Meetings
Section I
Regular meetings of the organization shall be determined by the current school year’s Executive Board members (i.e. the first Monday of every month at 7:00 pm).
Section II
Special meetings may be called by all officers.
Section III
Quorum shall be constituted by 2/3 members.
Article VIII: Affiliations
No affiliations are in conjunction with the organization.
Article IX: Amendments
Section I
The Constitution may be amended by two-thirds of all the executive board members.
Section II
All amendments to the constitution and bylaws are subject to the approval of the Office of Student Activities and Student Government.
