Move-Out Deadlines
Non-graduating students: All residence housing closes at 9 a.m. the Friday after finals.
If you are not a senior but are part of Commencement activities, your move-out deadline is 6 p.m. the Sunday after Commencement.
Graduating seniors: Seniors participating in Commencement must move out by 10 a.m. the Monday after Commencement.
Prepare to Move Out
How It Works
A move out/checkout process envelope will be placed on your door by Reading Day. If you plan to depart before that date, or you don’t receive an envelope, pick one up from the Housing and Residential Life Office (Campus Center 105).
You’ll check out via a contactless system. You will not need to wait for a staff member to be present to check out of your room and leave campus.
If you would like to request a “traditional” checkout, which involves a face-to-face appointment with Housing and Residence Life or a Collegiate Fellow, you must make that request at least 48 hours in advance of your intended departure date. After removing your belongings and cleaning your space, you’ll return your key in the check out envelope to the Housing and Residence Life Office.
For after-hours departures, use the secure drop slot outside the door. Staff will check in keys the next morning. Failure to return room keys will result in a $100 charge per key.
Move-Out Checklist
Before you leave, complete all tasks listed on your checkout envelope. These include but are not limited to:
Remove all personal belongings. Double-check dressers, closets, drawers, etc. (Charges will be assessed based on quantity/size of left-behind items.)
Take all garbage to the dumpster outside of the building and clean the garbage, recycling, and compost bins. There may be a minimum $25 charge (more based on volume) if these tasks are not done.

Dust all surfaces (desk, dresser, heaters, etc.). Wipe out desk and dresser drawers. There may be a $25-75 charge for room cleaning, depending on the amount needed.
Clear floor of debris. If debris remains, Gustavus may assess a $25-50 fee, based on the amount of cleaning that staff must complete.
Ensure all original furniture is in the room and assembled completely/correctly. There may be a charge for each missing/disassembled item.
Set the bed so that the top bracket is resting on the fourth rung from the bottom. There may a $25 charge if you leave it at the incorrect height.
If you are returning a rented refrigerator, unplug and defrost it 24 hours before returning it to avoid puddles or gross smells. Students in apartments and houses: You do NOT need to defrost the College refrigerator.
Do not paint, fill holes, or attempt to repair any damages. You do need to remove any tape or temporary adhesive hooks prior to your departure. The Facilities team will complete repairs and you will be billed for the damage.
Other Closing Information
Quiet Hours: 24-hour Quiet Hours will begin on Tuesday, the last day of classes, at 10 p.m. and continue until Friday at 3 p.m. Violating quiet hours will result in an automatic noise citation; no warnings will be given by Housing and Residence Life staff.
Trash/Dumpsters: All items from your room must be removed or thrown away. Dumpsters will be parked near the building starting in finals week. Items left in your room or in the hallway will result in additional charges at checkout.
Staff will use your Room Condition Report from move-in and compare the condition of your room after you leave. All damages not specified when you moved in, aside from normal wear and tear, will be recorded and charged to you. Charges which cannot be attributed to a single roommate will be divided equally between roommates. Bed Loft and Fridge Rental
Bed lofts and refrigerators rented from Bedloft.com should be left in your room. You do not need to take your loft apart. Staff from Bedloft.com will pick up all rental items from your room.
- Rental equipment (bed lofts and refrigerators) must be clean and in your assigned room prior to your departure.
- Rugs are purchased, not rented, and must be taken with you when you move out.
Trash2Treasure
Do you have gently used items that you no longer need? Drop items off at the end of the semester with the Trash2Treasure Move Out Donation Program, coordinated by the sustainability interns in the Johnson Center for Environmental Innovation and Facilities.
- When: Annually at the end of the Spring semester. Donations accepted during the last week of classes through Commencement.
- Who: Open to all students living in residential halls.
- Why: To collect and redistribute gently used items that might otherwise be thrown into dumpsters headed for a landfill. We average 4,500 lbs of items diverted from the landfill! These items will be available to the campus community at the Gustie Garage Sale in the fall. Stay tuned, returning students!
- What: Check out the accepted items list and plan ahead to drop your items off at the nearest collection station. Please try to redistribute large couches or other bulky furniture to underclassmen before donating; we have limited storage space.
- Where: Collection stations for donations of gently used items are at the following locations:
- College View - Large multi-use room
- Norelius - Lounge - area near the pool table
- Complex - Basement of North
- Pittman - Basement
- Sohre - Basement
- Southwest - Kitchen/lounge area
- Uhler - Basement
- Residents in other on-campus housing may bring items to these collection stations. Students and staff are also welcome to take any items from the donation stations at any time during the collection.
Mid-Year Departures
If at any time you are permanently moving out of campus housing, you must return your room key to the Housing and Residence Life Office as confirmation of departure.
Moving Out Mid Year
Please request a checkout envelope or stop by the Housing and Residential Life Office to pick one up. You must return your checkout envelope and key(s) directly to the Housing and Residence Life Office/drop box, Campus Center 105 to confirm your move-out. We will assess a $150 improper checkout charge if not completed, plus $100 for each non-returned key.
All your belongings must be removed from your room before checking out.

If you are transferring or withdrawing, please be sure to complete the withdrawal process starting with the Dean of Students Office.
