Requesting Transcripts

The Gustavus Adolphus College transcript is the official and historical record of a student’s enrollment at Gustavus. The official transcript is signed by the Registrar and bears the official seal of the College. Student records are protected by FERPA, the privacy act. You are the only one who may request your own transcript.

The Office of the Registrar at Gustavus Adolphus College is open Monday through Friday from 8:00 a.m. to 4:45 p.m. Normally, transcript requests received before 10:00 a.m. (Central Time) will be processed within 24 hours. Exceptions include, the opening week of each semester, one week before and after graduation, and between Christmas and New Year's when the College is closed.

No transcripts will be issued to current students once the final grading period begins until all final grades for all students have been recorded. This is to ensure that no incomplete records are released. There are no exceptions. Current students may request that a transcript be held until final grades for a term are recorded. Please plan accordingly.

Transcripts will not be released until all outstanding College account balances have been paid in full and transcripts will not be sent via fax or e-mail.

Electronic Transcript Requests

Gustavus offers an electronic (secure, certified PDF) transcript delivery option via Parchment. This service is available to students whose first semester of attendance at Gustavus was after September 1, 1985.

  • The site will walk you through placing your transcript order
  • You can order as many transcripts, to be sent to as many destinations as you like in a single session
  • Supplemental forms may be uploaded to be included with your transcript order
  • Order updates will be sent to you via email
  • You can check the status of your order online
  • You will be assessed a $2.50 service fee and your credit card will only be charged after your order has been completed

If you have a hold on your transcript, you will not be able to submit an order until all holds have been resolved.

Paper Transcript Requests

Only you may request your transcript. Verifying your identity can be done by providing the following information, in writing, by U.S.P.S., fax, or e-mail (telephone requests cannot be honored):

  1. Full name and name when enrolled, if different;
  2. Address and telephone number;
  3. Gustavus ID number or Date of Birth (mm/dd/yyyy);
  4. Current student: Yes/No; Year of graduation or last year in attendance;
  5. Major;
  6. An exact, legible name and address where the transcript is to be mailed. To send to an institution, organization, or company, you must include the name of the institution/business, street address, city, state and zip code;
  7. If your name is now different from the name of record at Gustavus Adolphus College, a photocopy of a current driver's license, court change order, or marriage license must accompany the request, so that the file name can be updated.

There is no per-request fee for hard copy transcripts. If you have a hold on your transcript, it will not be released until all holds have been resolved.

Transcripts sent to the requester will be in internal sealed envelopes marked "Unofficial If Seal is Broken."
