Office of Government Grants and Sponsored Programs
The Office of Government Grants and Sponsored Programs assists faculty and staff in identifying potential funding sources from government agencies and from government and corporate contracts. It assists faculty and others in developing grant proposals for individual and institutional initiatives, in managing funded projects, and in reporting on the use of grant funds.
Grant Information Resources and Research Assistance
Personnel from the Office of Government Grants and Sponsored Programs collect and organize information about grant opportunities offered by government agencies. The Office also has copies of successful proposals to a number of granting agencies that can serve as a resource in the proposal-writing process. Faculty members who are looking for financial support for research and equipment, for sabbatical expenses and projects, for instructional equipment, for curriculum development projects, etc., are welcome to come to the Office for consultations and to review available Funding Opportunities and Programs, as are directors and others from non-academic programs seeking external support.
Dissemination of Information
Our office provides news of grant opportunities to faculty and staff through campus-wide communication (e.g., the weekly campus e-newsletter, Inside Gustavus, faculty-l) and through more targeted e-mails and phone calls to departments, faculty and program directors.
Advising and Project Development
Office personnel are available to meet with faculty members and staff to advise on the appropriateness of a project for a given granting agency, to suggest names of government agency personnel who might be helpful, and to make inquiries on behalf of faculty members and staff. The Office also is in a position to suggest the appropriate format of proposals to different funding sources. This advice is most effective if faculty and staff contact the Office as early in the grant-seeking process as possible. Good proposals take time to develop. Government agency proposal deadlines may be as much as six to nine months before decisions are announced. We advise grantseekers to begin working on a request 12-18 months in advance of the time one expects to start using grant funds.
In response to the requirement that an increasing number of federal proposals be submitted electronically via Grants.gov, the Office assists faculty and staff in completing required forms, uploading documents, submitting the proposal and otherwise using Grants.gov. We also assist with various other electronic submission systems [e.g., the National Science Foundation (NSF) requires electronic submission, either through NSF's FastLane or Grants.gov]
The project director of a funded program has responsibility for project implementation, fiscal management, and reporting. Good stewardship of external funds is a critical aspect of the grant cycle process. The way in which the project director executes the funded project, maintains records, and submits reports can enhance the credibility of Gustavus (as well as the project director) and, hence, future eligibility for funding. The Office of Government Grants and Sponsored Programs assists the project director with his or her responsibilities by monitoring the progress of projects, helping with budget or other project revision, and assisting in the preparation and filing of required reports.
The Government Grants and Sponsored Programs Office maintains the College's records of all grant activity and correspondence with a funding agency.e.g., proposals, award letters, terms and conditions of a grant, project revisions, and reports.
