JOB SUMMARY:  The administrative assistant position is responsible for providing excellent receptionist and clerical support for the Gustavus Health Service as well as oversight of student employees, general accounting and billing, record keeping, student health insurance administration and general assistance to patients.  These tasks are performed in a manner that contributes to the success of the Health Service office. 

DUTIES AND RESPONSIBILITIES: 

  • Serve as receptionist providing specific front desk tasks
  • Hire and supervise student employees
  • Primary liaison to medical billing company
  • Manage all insurance and patient payments
  • Manage Student Health Insurance waivers, reconcile Student Health Insurance payments/credits, and answer questions from patients and parents
  • Keep an accurate and updated budget report including records
  • Organize and update online patient scheduling and medical records
  • Maintain patient confidentiality

POSITION DETAILS:  The work for this position will be performed Monday - Friday in the Health Services Office on campus during normal business hours. Scheduled hours will be 40 hours per week August 15 - June 15 and a total of 80 hours worked between June 16 - August 14 annually. 

Prerequisites

MINIMUM EDUCATION/EXPERIENCE/QUALIFICATIONS:  The administrative assistant must have a high school degree or equivalent. Applicants must have two years of office experience, computer proficiency, and be detail oriented. 

PREFERRED EDUCATION/EXPERIENCE/QUALIFICATIONS:  Experience working in a clinic or with insurance billing is preferred. Strong interpersonal and communication skills and a special interest in college-age students are essential. Additionally, the candidate must exhibit ethical standards and maintain strict patient confidentiality.
