JOB SUMMARY:  The primary purpose of this position is to provide administrative support to the departments, programs, faculty, and department chairs housed within the Old Main building in a timely and professional manner. The departments located in Old Main are Classics, Philosophy, Political Science, and Religion. 

Employment Type: Full-time (.61 FTE), Benefits-Eligible, Non-exempt (Hourly). Schedule: 30 hours/week for 40 weeks during the academic year and 6 hours/week for 12 weeks over the summer. Anticipated start date: June 3, 2024

MAIN RESPONSIBILITIES:

  • Provide administrative support for faculty, departments, and programs housed within the building including: answering and responding to telephone and email messages; collecting and distributing  outgoing/incoming mail; making photocopies and scans; maintaining and ordering office supplies; and providing administrative support on other department, program, or course-related projects (i.e. department reviews, department and class guest speakers, department events, job searches, travel arrangements, etc.).
  • Serve as the primary point of contact on matters related to the maintenance, upkeep, and safety of the building, classrooms, restrooms, common spaces, offices, keys,  and office equipment in collaboration with campus offices such as Facilities, Campus Safety, Gustavus Technology Services, and Office of the Registrar.
  • Manage and track the budget and spending of faculty, departments, and programs housed within the building in coordination with the Finance Office and relevant faculty, department chairs, or program directors.  Compile, track, and reconcile receipts for spending and conference travel.  Provide monthly review of budget information.
  • Coordinate scheduling for events in Old Main that fall outside of class hours.
  • Maintain/supervise use of bulletin boards for building and for each department.
  • Supervise student employees.
  • Help plan department, program, or course-related events in coordination with faculty and campus offices such as Marketing and Communication, Dining Service, Facilities, Campus Activity Office, and Provost’s Office.
  • All other duties as assigned.

Prerequisites

MINIMUM QUALIFICATIONS:

  • High school degree or equivalent
  • Strong oral and written communication skills
  • Appreciation of working in an academic environment
  • Strong organizational and office management skills
  • Experience managing and/or tracking a budget
  • Proficient in Word, Excel, and Google products (Gmail, Calendar, Docs, Sheets, etc)

PREFERRED QUALIFICATIONS:

  • Proficient in graphic design programs (e.g. Canva, Photoshop, etc.)
  • Experience maintaining or updating a website.
  • Supervisory experience
  • Two or more years of office experience
