Check-Out Procedures

Gustavus students and employees: All materials should be brought to the Information Desk to be checked out. A valid GAC ID is required.

Courtesy cards: If you are not affiliated with Gustavus, we may be able to provide you with a courtesy card. Contact the Library Information Desk (933-7557) for more information.

Loan Periods

Loan Periods For Print Materials (books, zines, and government documents):

  • Students, staff/administrators, courtesy, alumni: 6 weeks
  • Faculty: May 31 of current academic year
  • Browsing Coll: 42 days for all patrons with no renewals

Loan Periods For Media Materials:

  • Faculty, staff/administrators, local teachers: 14 days
  • Students: 7 days
  • Courtesy, local: 7 days

Loan Periods for our Periodicals Collection

  • Faculty, staff/administrators, students: 7 days

Items on which no holds have been placed may be renewed. The renewal period is the same length as the original loan period. An item may be renewed only once (with the exception of items within the Browsing Collection).

Renewals can be made by the patron on My Library Account, in the library or by remote access. Telephone renewals are accepted.

Overdue Materials and Fines

Print materials (books (excluding the Browsing Collection), scores, government documents) can be renewed within 28 days of the due date without incurring any fines. After an item is overdue for 29 days, fines are assessed. A minimal per-item replacement cost of $55.00 will be charged. The replacement cost will be refunded if the item is returned within one semester of the due date.

Browsing Collection materials, when overdue, are fined at the rate of 25 cents per day.

Audio/Visual materials have a 4-hour overdue grace period. A fine of $1.00 per hour is assessed thereafter until the material is returned.

  • Failure to respond to Overdue Notices may result in a patron block and the loss of library privileges.


Place a hold to put your name on a waiting list (a hold queue) for an item that is currently checked out. You may place holds via Discovery Tool or at the Information Desk (933-7557).

The patron who currently has the item will receive notification that it has been recalled, and a new, shorter, recall due date will be assigned.

When the item is returned, the patron who has placed the hold request is notified that the item will be held at one of the following locations:

  • Main Library items : Information Desk (held for 7 days)
  • Audio Visual items: Information Desk (held for 2 days)
  • Holds are not allowed on some library material, such as Course Reserve items and items currently on the shelves.

Course Reserves

Print/DVD Reserves

Print/DVD reserves are processed on a first-in, first-out basis and are generally loaded in 48 hours (with exception of the beginning of each semester). Please bring materials - library books, DVDs/videos, personal copies, or photocopies- to the library and fill out reserve request form available at the Information Desk. For print reserves you may choose 2- hour, 24 hours, or three days. For Audio Visual reserves it is 4 hours. 

The library adheres to U.S. Copyright law and its provisions for fair use. The library can assist with processing copyright permissions if necessary and will, within reason, pay permission fees. Please contact your library liaison if you have question about particular reserve items.

AV Equipment Reserves

To reserve AV equipment, please contact James Nickras (x7562) or You can search for videos/DVDs in our catalog.


If you cannot find an item whose status is "Available", please notify the Information Desk staff. An in-house search for the item will be conducted and you will be notified of the results.

Patron Responsibilities

Library patrons are responsible for all materials checked out with their ID cards. Patrons are expected to periodically check their individual records online to determine the status of charges, overdues, ILL requests, etc.

Patrons are responsible for notifying the library immediately if their cards are lost or stolen, or if there is any change in address or status.
