JOB SUMMARY:  The position’s primary purpose is to assist the Registrar and Assistant Registrar in managing the major functions of the office in a timely and effective manner, including the maintenance of academic records, collection and data reporting, collection of commencement and graduation data, registration of students, and entry of transfer courses. This position will provide front line friendly, engaged customer service to all college stakeholders.

Employment Type: Full-Time (.92 FTE), Benefits-Eligible, Non-Exempt (Hourly)

Pay Range: $18.50-20.50 per hour

MAIN RESPONSIBILITIES: 

Graduation & Degree Completion

  • Assist the Assistant Registrar with auditing degree programs to verify completion of graduation requirements.
  • Prepare academic records for graduation review and processing.
  • Process Intent to Graduate forms and coordinate diploma orders.
  • Prepare the official graduation program and support verification of degree completion.
  • Organize and prepare diplomas for commencement.
  • Record and communicate completion status to ensure accurate conferral of degrees.
  • Evaluate final transcripts to determine eligibility for honors.

Academic Records & Student Status Changes

  • Process student academic record updates including:
    • Major/minor declarations
    • Withdrawals, leaves of absence, and readmissions
    • Program substitutions and exceptions
    • Repeat course registrations and approved permissions
  • Maintain and update student biographical and academic data (e.g., addresses, legal names, proxy access, and related updates).
  • Process placement results (e.g., math and language placement).
  • Enter transfer credit from outside institutions when needed. 

Compliance & Eligibility Reporting

  • Verify and report athletic eligibility according to established schedules.
  • Monitor student-athlete registration changes that may impact eligibility.

Academic Processes & Registrations

  • Process specialized registrations including:
    • Community audit registrations
    • Employee course registrations
    • Non-degree seeking student enrollments
  • Provide administrative support for the faculty Adjudication Committee.
  • Process academic forms including substitutions, course withdrawal forms, drop/add requests, and special permission registrations.

Transcripts & Records Services

  • Process paper transcript requests and assist with online transcript fulfillment.

Student Employment & Office Operations

  • Support student employee operations in collaboration with the Office of Student Employment, including training and day-to-day guidance.
  • Provide front-line service via phone, email, and in-person support.
  • Assist with general office operations including mail processing and counter support.

Perform all other duties as assigned.

Prerequisites

MINIMUM QUALIFICATIONS:

  • High school degree or equivalent. 
  • Two to four years of general office experience including at least two years’ experience using Microsoft and Google software like Word, Excel, and Gmail.
  • Ability to prioritize and perform required volume of work in a timely manner with few or no errors and maintain sensitivity for confidentiality of information.
  • Ability to provide excellent customer service to a diverse population.
  • Ability to be flexible and work accurately and independently in an atmosphere of deadlines and constant interruptions.
  • Ability to proactively problem solve and research applicable policies and procedures.
  • Advanced written and oral communication skills.
  • Ability to maintain confidentiality of data.
  • Ability to train and manage student employees.

PREFERRED QUALIFICATIONS:

  • Ellucian/Colleague and Perceptive Content experience.
  • Experience in a Registrar’s office.
  • Experience with an integrated electronic data system.
  • Experience at a college or university.
  • Experience training and managing other employees.
