Spirion

Spirion is a tool used to discover, identify and secure personally identifiable information (PII). Spirion is capable of identifying PII such as Social Security Numbers, drivers license numbers, Passport id numbers. It is also capable of identifying PCI data such as credit card numbers. Gustavus is committed to protecting this sensitive information. The first step to protecting this information is using a tool like Spirion to discover and identify the data in order to ensure it is stored and accessed using a secure method.

There is no solution capable of identifying and removing all sensitive data. Spirion will only identify and remove specific sensitive data. Gustavus recommends employees remain aware of where sensitive data is stored and ensure that it is managed appropriately. Please reference the Employee Technology Use Policy for additional information.

Install Spirion

Windows

  1. Click the Start Menu/Screen button and start typing Software Center or locate the Software Center in the Start Menu/Screen.
    1. In Software Center under Applications, click on Spirion and select Install.

Apple OSX

  1. Open up the Managed Software Center application. Use Spotlight and type in Managed Software Center or navigate to the Applications folder and launch Managed Software Center Spotlight managesoftware.png Finder managesoftware.png
  2. While in Managed Software Center, find the Spirion icon, and click Install. This will install Spirion.

Run a Spirion Scan on a computer

By default Spirion is configured to scan the the computer for:

  • Social Security Numbers
  • Credit Card Numbers
  • Additional items are available to select under the Data Types tab/menu.

The Spirion application executes locally on the computer running the scan and any resulting match content remains on the computer until removed using the shred option. Spirion will not automatically remove any data.

To start a scan with the default settings, please follow the directions below.

  1. From the Start Menu on Windows or Spotlight on OSX start typing, Spirion.
  2. Select the Spirion application from the list to launch it.
  3. If this is the first time you have launched Spirion, you will be asked to enter a password. This password is used to encrypt the results. Enter a unique password that will only used for this purpose.
  4. Click Start Search Now or Search to begin a scan. The scan may take a while depending on how many files are on your computer. Spirion can be left open in the background while the scan completes and you may continue to use your computer as you normally would.

  5. After the scan completes , select the Wizard option and the results will be shown in the Spirion console.Results.PNG
  6. Please review the results and remove any unnecessary data from your device.
    1. Remove any unnecessary data from the computer by selecting the results and clicking the Shred option. This will delete the data from the computer.
