Migration steps for employees

Note: Please know that during the migration, your previous messages in your inbox are the last to transfer. However, any new messages will arrive in your GusMail inbox right away. Email folders such as your Sent, Filtered_by_GAC, and Trash folders are usually first to arrive in your GusMail.

First Step

  1. DUO two-factor authentication enrollment is required before starting the migration. Duo two-factor authentication is a second layer of protection on your Gustavus email account.

Second step

  1. If you would like to make sure the migration process goes as fast as possible, please empty your trash and spam folders. These folders will transfer during the migration.

Third step

  1. If you are a Microsoft Outlook user, please compare the folders and messages in your email client to Gustavus Webmail before migrating. Outlook doesn't function properly with the legacy Gustavus Email system causing some folders to be stored locally on your computer instead of on the server. If you think you may have some messages stored locally, you can create a new folder on the server and move these messages to that folder. If you would like assistance, please call the Technology Helpline (507-933-6111) to make an appointment.

Fourth Step

  1. Complete a current security scan:
    1. Visit https://gustavus.edu/account/scanEmail and log in.
    2. To begin a scan, select Start Scan.
    3. When the scan is complete, please review the results and mark any results that do not contain identified personally identifiable information (PII) or Payment Card Industry (PCI) data.
    4. After marking the false positives, select submit and the remaining items will be automatically deleted from your account.
    5. When a security scan returns no results, the GusMail migration may begin.

Fifth Step

  1. Begin GusMail migration:
    1. Visit http://gustavus.edu/migrate and log in.
    2. Agree to the terms and if you would like to, enter your cell phone information. Entering your cell phone information is optional. If you provide your cell phone number, you will receive status updates of the migration process.
    3. If you visit the Gusmail Migration page after starting the process, it will give you updates on the process.
    4. Once the migration has completed, review the results to ensure it has completed successfully. It is typical for SPAM messages to fail to migrate because of improper email formatting.

Migration steps for students

Checking GusMail

After starting the migration to GusMail, you will no longer be able to check your mail located at http://webmail.gac.edu. You will now check your Gustavus GusMail at http://gusmail.gustavus.edu

Visit gusmail.gustavus.edu

Clients and Devices

If you are a GusMail user, we recommend using the Web Interface gusmail.gustavus.edu. On mobile devices, we recommend the Gmail App. We do not support third party mail clients with GusMail.

If you have previously configured your Gustavus email on your computer or device, you will need to remove your account from your device and add it again.

If you have configured your Gustavus Google Calendar on your iPhone, Android, or iPad, you will just need to turn on the mail portion on that account, and then remove the previously added Gustavus email account.

GusMail Spam

After migrating to GusMail, please be sure to check the GusMail SPAM folder often to make sure wanted messages aren't marked as SPAM. If you find a message in your SPAM folder that you would like to keep, click on the message and click the Not spam button.

Attachments over 25MB

All attachments over 25MB have been migrated to your Google Drive. Gustavus Technology Services has created a folder named GusMailAttachments in your Gustavus Google Drive account.

Reserved folder names in GusMail

Reserved labels(folders) are prefixed with an underscore to ensure proper nesting in the Gmail web interface. For example, a folder named "Inbox/Receipts" is migrated as "_Inbox/Receipts." If you have sub folders of a reserved folder(label) such your Inbox, we recommend moving those folders outside of the Inbox to the root folder.

What is DUO?

DUO is an additional layer of authentication required when accessing your Gustavus account. After entering your Gustavus username and password, you will need to confirm that it is you trying to access your account either by confirming a push to your phone, answering a phone call from DUO, or supplying a code randomly generated by your phone each time you request it. What do I need to use DUO for?

When you try to access Gustavus User Settings, Gustavus Web Resources, Office 365, Chase, Remote Desktop, Moodle, the Gustavus Google Suite (including GusMail), or CrashPlan you will need to authenticate with Duo. Additional resources will require DUO as they add support for two-factor authentication.

Do I need to use a smartphone with DUO?

A smartphone is the most convenient option available for use with DUO because it doesn't require entering codes. If you don't have a smartphone, DUO can be configured in such a way that it calls a cell phone, so any mobile device that can receive calls will work. We also have hardware tokens available for those without phones.

What is GusMail?

GusMail is a email application hosted by Google. It functions the same as your personal GMail with some additional features such as unlimited storage space, quick and powerful search, improved spam filtering, differing terms of service replated to privacy and data loss prevention tools. The GusMail account also provides seamless access to the entire Google Suite of applications. Learn more

How long will the migration to GusMail take?

It depends on how many messages you have to migrate. We expect between 1-2 seconds per message. We can set the system up to text your phone when the migration is complete. Recent migrations have taken between a few hours and 3 days. You will be able to receive new messages immediately.

GusMail has replaced the legacy Gustavus email system because it offers several benefits over the former email system. Learn more
