JOB SUMMARY: To facilitate the functioning of the Department of Music, providing professional and creative support to its faculty, students and guests as it achieves the goals stated in its mission. Specifically, this includes administrative responsibility with budget, inventories, special events, supervision of student employees, and creative support to the needs of the music faculty. Effective management of a number of student workers is a key component.  Many responsibilities pertaining to communication, record keeping, budget and creative outreach are accomplished electronically. 

Flexible shift typically working 25 hours per week for 41 weeks per academic year with an additional 205 hours of work over the summer months. This position is classified as Part-time and Non-exempt (hourly).


  • Work with the chair to maintain effective office procedures and information management, as well as the department operating budget and Chair calendar.
  • Collate lessons adjunct hours and report to the Provost’s Office each semester.
  • Assist in producing internal and external documents, mailings, and reports. 
  • Assist in preparation for department meetings and faculty search processes.
  • Maintain or supervise maintenance of room keys, equipment inventories, ensemble performance libraries, and the on-line music performance library database. 
  • Lend communication and coordination support for the college’s music touring program. 
  • Assist with orientation and auditions for music students. 
  • Oversee student workers, including office assistants, lab monitors, and piano accompanists. 
  • Assist in maintaining the department’s website.
  • Operate and maintain all office equipment. 
  • Coordinate room assignments for Schaefer Fine Arts Music Building, including requests from on campus and off campus groups.
  • Support effective communication and collaboration with other offices on campus, notably the offices of the Provost, Advancement and Admissions. 
  • Make invitations, posters, program books, and other correspondence for faculty events, receptions, etc. 
  • Other duties as assigned. 



  • 3 years previous successful administrative assistant experience.
  • Proficient Microsoft Word and Excel skills.
  • Expertise or willingness to learn FileMaker Pro, Adobe Contribute and collaborative document management with Google Docs or other services. 
  • Excellent interpersonal skills. 


  • Graphic design interest or experience.
  • Bachelor’s degree preferred or equivalent in related field
  • Expertise in leveraging social networks for business purposes.
  • 4 years of professional office experience.
