JOB SUMMARY:  Manage and coordinate the activities of the Catering and Summer Programs Office in conjunction with the manager/director.  Specifically, the Assistant Catering Manager/Assistant Summer Programs Director will:

  • Be responsible for managing catered events and summer programs in absence of the manager/director.  It is anticipated that there will not be duplicate coverage of manager and assistant 50% of working hours.
  • Manage and direct the work of three catering supervisors,  up to thirty part-time student catering staff, and up to eight – 40 hour per week summer programs staff members.
  • Meet with catering and summer programs clients in coordination with and absence of manager/director.
  • Train full and part time catering staff in policies and procedures of the Catering Office to include on-going hospitality training.
  • Conduct weekly production meetings with catering, purchasing, and production staff in the absence of manager/director.
  • Work closely with the Dining Service Accounts Clerk to ensure timely client invoicing and accounts receivable.

DUTIES AND RESPONSIBILITIES: 

  • Monitors catered events to ensure service standards are met in terms of timeliness and quality of the customer’s experienceReports concerns to Director of Dining Service or Assistant Director and participates in resolution of deficiencies.
  • Maintains office hours in conjunction with manager/director to ensure Monday through Friday 9am – 5:30pm customer/client availability.
    • Event coverage = nights and weekends, as needed. 
    • Summer coverage = nights and weekends, as needed for camps and conferences. 
  • Reviews catering staff work schedules to ensure proper event coverage.
  • Assists Summer Programs Director with client invoicing to get counts to accounts manager as soon as the camp is over.
  • Demonstrates ability to manage and prioritize multiple concurrent tasks.
  • Demonstrates problem solving ability while collecting task related information and makes recommendations and adjustments for successful resolution.
  • Demonstrates commitment to customer satisfaction by providing high quality service and appropriate communications.  This position includes regular customer interaction in fine dining, informal dining, and conference settings.
  • Represents the College in a professional manner in terms of poise, appearance, and dress.
  • Is available to respond to after-hours calls for Summer Programs and Catering Office at the discretion of the Assistant Director, Catering and Summer Programs.
  • Participates in staff selection processes for Catering and Summer Programs Office.
  • Attends professional development seminars, conferences, and continuing education sessions as appropriate and recommended by Director of Dining Service.
  • Willingly assists Dining Service departments outside of Catering as necessary and as available to meet customer deadlines and departmental objectives.
  • Process all catering requests and return phone calls in a timely manner.
  • Social Media: Communicate happenings and other things of interest related to Gustavus Dining Service and Summer Programs. 
  • All other duties as assigned.

Prerequisites

MINIMUM EDUCATION/EXPERIENCE/QUALIFICATIONS: 

  • High school diploma or equivalent
  • 5 years customer service experience in hospitality related setting 
  • 2 years minimum supervisory experience
  • Strong working knowledge of Windows based software applications including word processing and spreadsheets
  • Strong oral and written communication skills

PREFERRED EDUCATION/EXPERIENCE/QUALIFICATIONS: 

  • Bachelor's Degree
