*Full-time, Non-Exempt (hourly) position*

JOB SUMMARY:  

Reporting to the Director of Research and Sponsored Programs (RSP), the Grants Compliance Specialist provides financial management and compliance support for grants, contracts, and other awards from foundation, corporate, and government sponsors in support of faculty research, scholarship and creative activities, as well as those in support of curricular, programmatic, and College initiatives.  

DUTIES AND RESPONSIBILITIES: 

  • Maintain expertise on College policies, federal and state regulations, and policies and procedures related specifically to externally sponsored programs.  Research, interpret, and apply regulations and guidelines effectively to ensure compliance. 
  • Stay up to date on relevant best practices through continuing education, professional development (modest annual funding available)
  • Assist with the development of policies and procedures, and document internal controls, related to financial compliance.
  • Track and maintain records for state and federal compliance requirements including audit reports, compensation certification and risk assessments.
  • Develop grant management resources for faculty and staff. 
  • Enter and manage grant related data, prepare financial reports, and lead monthly grant management meetings. 
  • Post-Award Management:
    • Ensure compliance with federal, state, sponsor, and College regulations and policies.
    • Confer regularly with Project Directors to discuss project aims in relation to expenditures.
    • Set up grant funded summer appointments and academic year reassignment time for current Gustavus employees.
    • Review and approve grant expenditures.
    • Track and report on cost-share commitments.
    • Process approved grant revision requests.
    • Assist with budget revisions during the grant period. 
    • Ensure compliance, in collaboration with the Finance Office, with audit requirements.
    • Assist the Finance Office with grant related invoicing, subaward-recipient risk assessment and monitoring, and award close-out.
  • All other duties as assigned.

Prerequisites

MINIMUM EDUCATION/EXPERIENCE/QUALIFICATIONS:  

  • Experience with accounting principles, grant accounting, and financial research administration. 
  • Knowledge of standard concepts, practices and procedures related to grant management.
  • Ability to work with diverse constituencies of faculty, staff, administration and students, as well as to work independently.
  • Demonstrated commitment to continued professional development.
  • Demonstrated organizational, communication, problem-solving, and interpersonal skills.
  • Experience managing budgets and other data using spreadsheets, databases and web-based reporting systems while maintaining a high level of attention to detail.
  • Demonstrated commitment to maintaining confidentiality.

PREFERRED EDUCATION/EXPERIENCE/QUALIFICATIONS:  

  • Bachelor’s or advanced degree preferred.
  • Experience with financial grants and contracts administration in a higher education setting.
  • Experience with the federal Uniform Guidance
  • Experience with website maintenance.
  • Writing, editing, and small group presentation skills.
