  Using RefWorks
RefWorks is a web-based bibliography and database manager that allows individual users to store references, sort them into folders, and format citations using a wide range of styles. One of the most popular functions of RefWorks is its ability to create bibliographies. For information not available on this page, please see the RefWorks User Quick Guide.
Getting Started
Members of the Gustavus Adolphus College community must set up an individual account from a computer on campus. After initial account set up, users may access RefWorks from off campus using a special Group Login ID number as well as their individual account information. See below for details on the various methods of accessing RefWorks.
  • Click here to set up a RefWorks Individual Account (available from on campus only).
  • Click here to log in to RefWorks directly (after initial Individual Account is set up from on campus).

For off-campus access:

  • Enter the Group Code for Gustavus: RWGustavusAC (after setting up your Individual Account on campus, the Group Code will be e-mailed to you automatically)
  • Enter your individual account information.

Manually Entering References

References can be entered manually and by directly exporting them from some databases. Only some of the databases which the Gustavus library subscribes to allow one to directly export references to RefWorks. Below are directions for manually entering references:

  1. Select References from the top toolbar and from the drop-down menu select Add New Reference.
  2. At the top of the screen, first select your bibliographic style (MLA, Chicago, APA, etc).
  3. Items that are required by the style you have chosen will have a red asterisk next to them. Fill in all the appropriate boxes. Please observe that to the right of many of the boxes, instructions are included explaining how to enter the reference information appropriately.
  4. When done entering the reference information, click on Save to save the reference.

Exporting References
Many databases allow you to export references directly to Refworks. Below are instructions and a list of some of the Gustavus databases which allow you to directly export references. To see a complete list of databases that allow exportation, go to http://www.refworks.com/refworks/importdbs.asp.

  1. Mark references and click on Output Options (left-hand side menu).
  2. Choose RefWorks Export and click Submit.
  3. You will prompted to connect to Refworks.
  4. References will be placed in a Last Imported folder.
CSA Databases
  • ATLA
  • Biological Sciences
  • Medline (via CSA)
  • MLA
  • Physical Education Index
  • Plant Science
  • PsycArticles

  • RILM
  1. Mark the references you want to save and click on Refworks at the top of the results page.
  2. Choose either marked records or a range of records.
  3. Click on Export to Refworks to export references.
  4. You will be prompted to log on to Refworks.
  5. References will be placed in a Last Imported folder.

EBSCO databases
  • Academic Search Premier
  • Business Source Premier
  • Communication and Mass Media Complete
  • MasterFILE Premier
  • Regional Business News
  1. Save the references you want to import to a folder by clicking on Add next to the result title.
  2. Click on the folder (Folder has items) on the upper right side above the results.
  3. Click on Save to Disk and the Bibliographic Manager tab.
  4. On the right-hand side of the Bibliographic Manager, choose Direct Export to RefWorks.
  5. Click on Save.
  6. Log on to Refworks.
  7. References will be placed in a Last Imported folder.
FirstSearch databases
  • AHSearch
  • AltPressIndex
  • Dissertations
  • EconLit
  • GeoRefS
  • PAISInternational
  • WorldCAT
  1. Mark references (next to number of result).
  2. Click on Export at the top of the results page.
  3. Next to Export: choose either a range of records or your marked records.
  4. Next to Export to:, choose Refworks.
  5. Click on Export to export references.
  6. A window will open, asking you where you would like to save your FirstSearch references. Make a note of the location and filename you choose because you will have to refer to this file later, during the import process.
  7. Log in to RefWorks.
  8. Select Import from the buttons at the top of the database page (may be located under References).
  9. At Import Filter/Data Source, select OCLC FirstSearch from the pulldown menu.
  10. At Database:, select the specific database from which the references come.
  11. Make sure the Import Data from the following Text File button is selected. Click on Browse to find the file of FirstSearch references saved on your hard drive and select it.
  12. Select Import. Your FirstSearch references should import into your RefWorks database.
JSTOR
  1. Click on Save Citation located under the result to save a reference.
  2. Click on View Saved Citations in the upper-right hand corner.
  3. To save your Saved Citation List to a local file, select citation-manager format from the top or bottom of the Saved Citations List, then choose Export. (If you prefer, you can also email your saved citations to yourself for future use.)
  4. A window will open, asking you where you would like to save your JSTOR citations. Make a note of the location and filename you choose because you will have to refer to this file later, during the import process.
  5. Log in to RefWorks.
  6. Select Import from the buttons at the top of the personal database page (may be located under References).
  7. For the Import Filter/Data Source, select JSTOR from the pulldown menu.
  8. Make sure the Import Data from the following Text File button is selected. Browse to the file of JSTOR citations saved on your hard drive and select it.
  9. Select Import. Your JSTOR citations should import into your RefWorks database.
Project Muse
  1. Mark references and then click on Save Marked Results at the top of the page.
  2. Click on E-mail/Export Saved Results at the top of the page.
  3. Under Export marked results to:, choose Refworks and click on Export.
  4. Log on to Refworks.
  5. References will be placed in a Last Imported folder.
Web of Science
  1. Mark references, then click on Marked List at the top of the results page.
  2. Under Step 2, click on Export to Reference Software.
  3. A window will open, asking you where you would like to save your references. Make a note of the location and filename you choose because you will have to refer to this file later, during the import process.
  4. Log in to RefWorks.
  5. Select Import from the buttons at the top of the personal database page (may be located under References).
  6. For the Import Filter/Data Source, select ISI (Institute for Scientific Information) from the pulldown menu.
  7. At Database:, select Web of Science.
  8. Make sure the Import Data from the following Text File button is selected. Click on Browse to find the file of the Web of Science references saved on your hard drive and select it.
  9. Select Import. Your references should import into your RefWorks database.

Create a bibliography
  1. Select Bibliography from the menu at top.
  2. Select an Output Style (i.e. MLA, Chicago, APA, etc).
  3. Select Format a Bibliography from a List of References.
  4. Select File Type to Create.
  5. Select which references you would like to include in your bibliography: all or only those from a specific folder.
  6. Click on Create Bibliography.
  7. Save bibliography to your computer or a disk.
